Project Application Process Explained By a Recruiter

How The OneForma Application Process Really Works

You meet every requirement, you click apply, and you are still not picked. A OneForma recruiter explains why, and most of the reasons are things you can fix this week.
This comes from our live Ask a Recruiter session with Zorana Raseta, a Global Recruiter on the OneForma recruitment team. For two and a half years, she has matched experts to translation, annotation, data collection and judging projects.
Here is how the OneForma application process really works, and what gets experts selected: a full profile, fast timing, an open inbox, and the habit of applying again after a miss.

Why The OneForma Application Process Moves So Fast

Traditional recruitment fills one position with one person, over two or three months of interview rounds. Project recruitment is different. A single project can need 500 experts, and instead of interviews, you complete written or spoken assessments.
The result is speed. Zorana described experts who apply one week and start on the project the next. One of her recent projects needed 20 experts and filled in two days. Others, like Lighthouse, Milky Way and Light Speed, recruit all year. Either way, the experts who move first and finish fast have the edge.

What Happens After You Apply To A OneForma Project?

After you click apply, you answer short surveys or demographic questions, complete the project qualification, and sign the project documents. A recruiter then reviews your application. If you are a fit, you are endorsed. Some projects add one more knowledge check before you start.
The exact steps depend on how each project is set up. Being endorsed is not the finish line: some experts drop off after it because they miss an email or do not pass the final check. That is why recruiters often keep accepting applications after the spots look full.
"It's not a test. We want you to get an impression of what the task will actually be, and to see if this is for you." Zorana Raseta, Global Recruiter
So treat the qualification as your first look at the work.

Build A Profile Recruiters Can Match

Recruiters do not look only at your CV. They cross-match everything on your expert profile against the project requirements: experience, skills, languages, extra knowledge and past OneForma projects. The more specific you are, the easier you are to find.
Keep it broad. If your CV only says annotation, you will only be matched to annotation projects. But projects also look for finance, IT and medical experience, so list your actual profession next to your project experience. The most common problem Zorana sees is a CV that is two or three years out of date.
"Keep your CV updated, keep your skills updated, keep your interests updated. Keep everything updated on your profile. It really helps you." Zorana Raseta, Global Recruiter

Apply Early And Finish In One Sitting

When several experts are equally strong, timing often decides. Zorana sees many people click apply and stop there. The qualification stays pending, the reminders go unread, and the spots fill.
Her advice: when you see a project that fits, set aside an hour or two and finish the whole process right then. Do not save it for the weekend, because that is when people forget. Even if a project shows 10 or 15 days left, spots often fill before the deadline.

Stay On The Email List

When a project opens, recruiters first email invites to the experts who match it best. If you never get invites, there are two likely reasons: you unsubscribed from OneForma emails, or something on your profile does not match the requirements.
Closed projects are announced by email too, so an unsubscribed inbox leaves you guessing. If you unsubscribed by accident, contact OneForma support and ask to be added back. And if a project on your dashboard fits you but no invite came, apply yourself. You do not need to wait for an invitation.

Why A Strong Match Can Still Miss

Spots are limited, and there are usually more qualified experts than places. When several meet every requirement, small things decide: when you applied, your qualification scores, and how you communicate with recruiters and project managers. Requirements can also shift mid-recruitment, for example when a France-only project opens to French speakers anywhere.
So when you miss a spot, look at what you control: a full profile, a fast application, a strong qualification score. Then keep applying. Many projects do not ask for a college degree, and the qualification shows you the task before you start.

Recruiter Myths: True Or False?

Zorana answered six common beliefs in a quick round:
  1. "No reply means no one looked at my profile." False.
  1. "Applying to more projects raises my chances." False. One detailed application beats ten random ones.
  1. "If I was rejected once, I will not be considered again." False.
  1. "Recruiters only look at CVs." False. They read your whole profile.
  1. "One successful project makes me eligible for the next." It depends. It helps a little on the same type of project only.
  1. "Updating my profile helps me get noticed." True.
And the biggest mistake she sees? Not reading the project description before you apply.

Recruitment Has People Behind It

Behind every decision is a team of people matching what a project needs with what you bring. You control most of what they see.
"Please understand that we are human, here on the other side, trying to find the best fit. Don't give up. We are here to support you, so be patient, and apply." Zorana Raseta, Global Recruiter
Update your profile today, then bring your expertise and find your project.
